Wraparound Childcare – Parents' Terms and Conditions

Effective Date: September 2025

Welcome to Wincham Community Primary School’s Wraparound Childcare. We are committed to providing a safe, welcoming, and stimulating environment for all children in our care, supporting parents with affordable and convenient childcare. This document outlines the terms and conditions for the use of our Before and After School Club. By registering your child/children, you agree to adhere to these terms and conditions.

1. Operation and Services

  • The Wincham Breakfast and After School Club operates during term-time only.
  • We offer provision directly before and after the conventional school day for school-age children.
  • Provision is made available to children aged 4 to 11.
  • The club aims to provide regular, longer, and dependable hours to support working parents.


2. Registration and Bookings

  • To register, parents need to complete the online registration form
  • School Gateway allows you to book sessions, make payments, and view your balance, payment history, and future bookings.


3. Fees and Payments

Current Fee Structure:

  • Before school (7:30 AM - 8:55 AM): £6.25 
  • After school short session (3:25 PM - 4:30 PM): £8.25 
  • After school full session (3:25 PM - 6:00 PM): £12.25 


  • All fees have to be paid when the session is booked. 
  • We are registered on the Tax-Free Childcare scheme and will accept childcare vouchers. Information on government funding to help with childcare costs is available on the school website and in newsletters.
  • Payment reminders will be sent out at regular intervals to prompt you to view your balance and make payments.
  • Any issues regarding payment must be raised with the school as soon as possible and within 7 days of the last day of each half-term.
  • Fees are charged if attendance is booked and the child does not attend, including for absence due to illness or holiday.
  • If your child attends another after-school club or activity between 3:25 PM – 4:30PM and then requires Acorns, the Acorns space must be booked from 3:15 PM, and you will be charged accordingly. 


4. Cancellations and Changes to Bookings

  • Cancellations should be made via Hivelink
  • The sessions you book in advance are allocated to your child for the half-term.


5. Collection of Children

  • No person under the age of 18 will be permitted to collect a child from our care.
  • At the end of the after-school care club, parents will sign their child out before they leave the premises.
  • When you register your child for the first time, we will ask you for nominated people who are allowed to collect your child.
  • If someone other than the registered person is collecting the child, Acorns staff must be notified by the registered person at least half an hour before school finishing time. The quickest way to do this is by email. childcare@winchamcp.cheshire.sch.uk The registered person must also provide a description of the individual and confirm the password.
  • Children in year 6 will be allowed to leave the premises unaccompanied in the summer term only if written permission is given by the parent. Children in years 1-5 are not permitted to leave the premises unaccompanied.


6. Late Collection

  • There is a 10-minute 'grace' period at the end of the first session only, as long as the parent has messaged the Acorns staff to say they may be late.
  • If a child is picked up late from the first session (after 4:40 PM), parents will be charged an additional £4 to cover the cost of the second session.
  • If a child is picked up late from the second session (after 6:00 PM), there will be a charge of £20 to cover staffing costs.
  • Whenever a child is collected late, the parent will be reminded that they must notify a member of staff if they are running late, and they will be warned that repeated late arrival will result in penalty fees.
  • The school will log late collections. If there are more than 10 late collections within a rolling 10-week period, the amount charged for late collection will be increased by £2 for the following 10 weeks (£4 > £6 and £20 > £22).


7. Uncollected Children Procedure

If a parent is over 15 minutes late, staff will attempt to contact the parent and then emergency contacts. If a parent is more than 30 minutes late and no contact has been made, the local social care team will be contacted for advice. The child will remain on the premises with staff or be placed with the local social care team. A note will be left on the club door informing the parent of the child's location, with a contact number and address displayed.

8. Child Conduct and Behaviour

  • In the interest of everyone’s safety, the school’s code of conduct and behaviour policy must be followed.
  • Failure to adhere to the behaviour policy will result in a formal warning being given before the place is removed.


9. Health, Safety, and Safeguarding

  • The school is committed to ensuring the safety and welfare of all children in its wraparound care provision.
  • Robust safeguarding arrangements are in place, and all staff and volunteers involved in wraparound care adhere to the school's Child Protection and Safeguarding Policy and statutory guidance in Keeping Children Safe in Education (KCSIE).
  • All staff receive safeguarding training and know how to contact the Designated Safeguarding Lead (DSL) or deputies.
  • All staff, including volunteers, undergo enhanced DBS checks.
  • Information regarding children's medical conditions, allergies, and dietary requirements must be provided accurately on the medical and registration forms. The school will adhere to allergen regulations and School Food Regulations 2014 when offering food.
  • Parents are welcome at the collection point to exchange information and provide updates on their child’s wellbeing.


9. Inclusion

Wincham Community Primary School is committed to providing inclusive and accessible childcare for all children, including those with Special Educational Needs and Disabilities (SEND) and vulnerable children.

We will make reasonable adjustments for children with disabilities to access the provision, and parents will not be expected to contribute to any costs incurred for these reasonable adjustments.

10. Amendments to Terms and Conditions

Wincham Primary School reserves the right to change any element of these Terms and Conditions without notice where such a change arises from regulatory or legal requirements.

For non-regulatory or statutory amendments, reasonable notice will be provided.

11. Communication and Feedback

All school policies, including this one, are available on the school’s website, and hard copies are available upon request.

An annual survey will be conducted to collect feedback and improve services.
